About the role

Belfast TradFest are seeking a dedicated, hard-working individual to join the experienced, fun and fast-paced team responsible for organising St. Patrick's Music Weekend and Belfast TradFest, individual concerts and a summer school of traditional music. Reporting to the Festival Producer, the Festival Assistant will support the team in the preplanning and on the ground delivery of indoor and outdoor events.

Location: Belfast/Hybrid 
Reports to: Festival Producer 
Contract: Six-months Full-time

Salary:  £11.44 per hour (21 and over) / £8.60 per hour (18 to 20 years)

Duties include:

  • Support across all aspects of Event Production, including event schedules, staffing, advancing with artists / tour managers and venues, event costings, pre & post show documentation, administrative duties, support artist bookings.

  • Support Producer in liaison with music venues on concert schedules and tech requirements.

  • Artist liaison including arranging musician travel, meals and accommodation.

  • Support Concert Event Managers with stage and venue set ups.

  • Stage Management operations throughout festival programmes.

  • Event Representative – Being the main onsite point of contact between artists and venue across multiple events.

  • Support the management of the festivals Volunteer team.

  • Managing the festivals main info email account.

  • Administration support to Artistic Director, Festival Producer & Marketing Officer.

  • Assist with the festival’s marketing, social media and website development.

  • Provide box office support to the team and public.

  • Engaging in physical distribution, leaflet drops, postering etc.  of festival marketing literature, posters etc.

  • Manage the processing of merchandise sales through the festival’s online shop, including posting orders and monitoring stock levels (working closely with the Marketing Officer)

  • In the busy run up to the festival, supporting colleagues in the development and delivery of festival events, including compiling and managing guest lists.

  • Contribute to the overall aims and objectives of Belfast TradFest

  • Undertake any other reasonable duties as requested by the Artistic Director, Festival Producer & Marketing Officer.

What are we looking for

Essential:

  • A third level qualification (degree or diploma) or equivalent.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple priorities and deadlines with excellent administration, record-keeping, organisation skills and attention to detail

  • Ability to act as a powerful ambassador for the organisation  

  • Confidence in contacting festival partners and supporters by phone and email

  • Confident in the use of Microsoft Office and Google software for word processing, spreadsheets, data processing, presentations, and email forPC and/or MAC.

  • Able and willing to work unsocial hours during busy periods including evenings and weekends during Festival and when required to facilitate events.

  • Clean driving license and access to car.

Desirable:

  • Good knowledge of and passion for traditional music.

  • Previous experience in festival administration, event management or production.
